Team Fold™ and When2meet: What to Check Before Choosing

By Team Fold™ TeamFebruary 11, 2026

Start with the decision you need to make: are you finding one shared time, or coordinating a team across several events? Those are different jobs, even when both start with an availability poll.

Evaluate the polling workflow

Open a sample poll on a phone. Check how dates and times are labeled, whether participants need an account, and how the organizer sees overlapping responses. If your group spans time zones, test how the time labels appear for each participant.

For When2meet, check the current workflow directly on its official website. This guide does not assume its features or policies are unchanged.

What Team Fold™ does

An organizer creates a scheduling poll and shares its link. Participants select available times in their browser, and a heatmap displays overlap among submitted responses. You can create a poll to try this with your own group.

For ongoing coordination, Team Fold™ also provides event RSVPs, team announcements and volunteer sign-ups. These are separate tasks: a poll finds a possible time, an RSVP records attendance for a confirmed event, and a sign-up records who will help.

Check the full cost and fit

Your first Team Fold™ team is free; additional teams cost $3.99 per month each. Participants responding through shared links do not need a subscription. Review the current plans and the other provider’s current terms before deciding.

Choose based on the task and the experience of your actual participants, not an unsupported ranking.
